Projects

Creating a Project

  1. Navigate to the Projects page from the left navigation panel.
  2. Click on + Add Project to start a new project setup.
  3. Fill in the following details:
    • Project Name: Enter the name of the project.
    • Notification Email: Specify the email addresses to receive notifications for support requests and new project notes.
    • Customer Name: Add the name of the customer.
    • Customer Number: Provide the customer’s contact number.
    • Customer Email: Enter the customer’s email address.
    • Remarks: Include any additional notes or special instructions related to the project.
    • Users - Support Requests: Select which users have permission to view and manage support requests for this project.
    • Users - Packages View: Select users allowed to view project packages.
    • Users - Routine View: Select users who can access and view routines associated with this project.
  4. Click Add Data to create the project.

Managing and Tracking Packages

  1. Navigate to the Projects page and select the project you want to manage.
  2. Hover over the project and click Actions > View to access package details.
    • This will display two tables:
      • Table 1: All Packages Added to the Project:
        • Shows information about all the packages associated with the project (e.g., package name, hours, status, purchase date).
      • Table 2: Add More Packages:
        • Enter the following details to add a new package:
          • Package Name: Enter a name for the new package.
          • Hours: Specify the number of hours included.
          • Status: Set the current status (e.g., Active, Expired).
          • Description: Add a brief description of the package.
          • Purchase Date: Enter the purchase date of the package.
          • Update Date: Update the date if necessary.
        • Click Add Package to save the new package.

Viewing Project Overview

  1. Navigate to the Projects page and hover over the project you wish to review.
  2. Click Actions > Overview to view the project overview page.

Overview Page: Top Widgets

  • Overall Project Information: Displays details entered during project creation.
  • Total Number of Active Packages: Shows the count of currently active packages.
  • Total Number of Hours Remaining: Displays the total remaining hours for all active packages.
  • Support Requests Summary:
    • Active Requests: Number of open requests.
    • In Discussion: Number of requests currently under discussion.
    • Done: Number of completed requests.
    • Closed: Number of requests that have been resolved and closed.
  • Project Notes:
    • Click on + Add Notes to add new notes
    • A notification is sent to the user who added the note and to all emails specified in the notifications list when a new note is added.

Overview Page: Tables (bottom)

  • Table 1: Packages Table:
    • Lists all packages tied to the project with relevant information (name, hours, status, etc.).
  • Table 2: Routines Table:
    • Provides details about the routines linked to the project, including routine type and schedule.
  • Table 3: Support Requests Table:
    • Displays the current support requests with status and priority.
  • Table 4: Notes Table:
    • Shows all project notes with details like user date created, and content.
